In advance of our September 24, 2020 Annual General Meeting, the board is circulating the following proposed bylaw changes and additions:

TO: All Acadia Community Association Members
Be advised that your Acadia Community Association (ACA) Board of Directors has met this past month and during our monthly board meeting, the agenda topics had us addressing these unprecedented and dynamic times we find ourselves in. As representatives for all Acadia community members, we have voted to propose the following bylaw changes and additions (on the following proposed bylaw changes and additions into our board) to allow us to better represent you, our membership, going forward. These changes and additions will be presented and voted on at this year’s Annual General Meeting scheduled at the Acadia Recreation Complex (ARC) on Thursday, September 24th @ 7:00 pm. In accordance with our existing bylaws, the following are the proposed changes and additions that have been approved by the (the) ACA board:
Proposed Bylaw Changes:
1. That Section 4.2 Membership Year be changed to read: The membership year is January 1 to December 31.
2. That Section “6.2.1 E-mail meetings” be renumbered to read “6.2.2 E-mail Meetings.”
Proposed Bylaw Additions:
1. (New) 5.1.2 Virtual General Meetings
In the event a General Meeting cannot be held in person, it may be held online using a platform that allows video, voice, content sharing, and chat. The notification requirements in Section 5.1.1 Annual General Meetings shall apply to any virtual meetings with “the place” understood to be the online platform.
2. (New) 5.2.5 Virtual Special Meetings
In the event a Special Meeting cannot be held in person, it may be held online using a platform that allows video, voice, content sharing, and chat. The notification requirements in Section 5.2.2 Notice of a Special Meeting shall apply to any virtual meetings with “the place” understood to be the online platform.
3. (New – Addition to 5.3.5 Voting, to be inserted after “Email voting will not be allowed….”)
In the event an Annual General Meeting or Special Meeting is held virtually, all voting will be conducted by a Returning Officer appointed in advance of the meeting by the Board of Directors.
4. (New) 6.2.1 Virtual Board Meetings
At the discretion of the Board, meetings may be held online using a platform that allows video, voice, content sharing, and/or chat. Such virtual meetings must meet the requirements set forth in Section 6.2 Meetings of the Board.
